Creation of an Electronic Archive of an Institution of Higher Education: Features of the Digitalization of Office Documents and Software Implementation of the Information Resource

The purpose of the article is to determine the stages and features of the digitization of paper official documents (on the example of the organizational and administrative documents of Lviv Polytechnic National University), as well as to review software tools for the implementation of an information resource for the further creation of an electronic archive facility, which allows searching for digitized electronic documents and their use by employees. The methodology is based on the methods of analysis, synthesis, induction, deduction, as well as on the use of informational, system-structural and functional approaches. The result of the research is the development of an informational resource that will serve as informational support for digitized organizational and administrative documents of the archive of Lviv Polytechnic National University for internal use by employees. The scientific novelty of the research results lies in the scientific substantiation and construction of methods and means for the development of an informational resource, which allows the employees of the archive of Lviv Polytechnic National University to digitize paper organizational and administrative documents and to search for already existing digitized documents. The practical significance of the research results lies in the development of an informational resource for the digitization of organizational and administrative documents of the archive of Lviv Polytechnic National University. Conclusions. In the course of the research, the main components for document digitization were identified: employees (staff) of the archive, documents (in our case — organizational managers) and software that allows recognizing their content and subsequently carrying out digital preservation. In the future, the technological solution for the development of an informational resource in the form of a website was described. After reviewing all the available tools and methods for creating websites, the WordPress CMS platform was chosen to solve the task at hand. As a result, an information resource was obtained that allows to digitize and store organizational and management documents created and received during the activity of the National Institute of Public Health, to carry out a convenient and relevant search for data in them.
