Abstract

This research paper presents the Automation AI Mail-Bot, an open-source AI-powered web application designed to automate the complete professional email workflow. The system integrates natural language email drafting using the Groq-hosted Llama 3.1 language model, iterative human-guided refinement with cumulative feedback history, and direct SMTP-based email delivery within a single unified platform. The application is built using Flask, Next.js, React, LangChain, and SMTP services. It also includes a fallback template-based email generation mechanism to ensure uninterrupted functionality during AI service outages. Experimental evaluation demonstrated significant improvements in professional email quality and workflow efficiency. The system achieved 100% functional correctness across structured test cases and reduced overall email workflow time by approximately 97% compared to traditional manual methods.
