Integration of UDI code and Excel improves inventory management efficiency, indicating enhanced lab operations.
Background Reagent inventory management is essential for ensuring the smooth operation of a clinical chemistry laboratory. Effective management ensures that stock levels meet ongoing needs without excess material storage and, in the meantime, minimize the risk of workflow interruptions due to reagent shortages or expiration. In small to medium-volume laboratories, where commercial inventory tracking systems might not be available, managing inventory can be laborious or prone to errors. Methods Here we share our experience on inventory management using Excel conditional formatting and the UDI code on the label of Roche reagent cartridge in a laboratory with an annual volume of half million chemical tests. Results We integrated the CODE CR2701 scanner with an Excel file to obtain essential reagent information from the UDI code - such as GTIN number, lot number, expiration date, reference number, and material date. We then set up alerts through conditional formatting in Excel for expiry date and low stock counts. Figure 1 shows the process and examples for some reagents. By analyzing regular inventory data in a period of 10 months, we were able to estimate monthly reagent usage and, based on the inventory, to set order date for new reagents. This method allowed a single person to track the inventory and orders. Conclusion This approach offers a cost-effective solution for laboratories that may not have access to commercial inventory management systems. It improves lab quality, efficiency, and ultimately patient care.
