Managing a college hostel involves linked work such as keeping student records, checking applications, allocating rooms and beds, collecting fees, producing receipts and handling grievances. If these duties rely on separate registers or spreadsheets, information fragments and records are hard to reconcile. This paper presents HostelNexus, a web-based hostel management system that brings these activities into one centralized platform. New student accounts remain pending until an administrator approves them. Before an allocation is saved, the system checks the student’s approval and account status, existing allocations, room capacity and bed occupancy. Payments are recorded against fee structures, and PDF receipts are generated on request. Students can view their profile, allocation and fee details, download receipts, submit and track complaints, and use a rule-based hostel assistant. Administrators manage blocks, rooms, fees and complaints and export reports in Excel and PDF formats. The system is built with Python, Flask, MySQL, HTML, CSS and JavaScript, with ReportLab and OpenPyXL for document generation. Security measures include password hashing, role-based access control, CSRF protection and restrictions on uploaded images. The main workflows were examined through ten functional test cases together with validation and security checks. The implementation shows how hostel operations can be consolidated into a single, role-aware web application.
